Governed Provider Discovery Across Multiple Channels
How a multi-channel content system transformed raw clinician intake into strictly governed, compliant profile content formatted for Epic EHR directories and Google Business Profile local search.

In a large regional healthcare system, provider profiles are the most heavily trafficked entry point for organic search and patient appointment scheduling. When patients search for “medical oncologist in Cincinnati” or “ENT doctor near me”, provider profile pages and Google Business Profile listings capture immediate commercial intent.
However, managing physician bios across hundreds of new onboarding clinicians created severe operational friction:
I designed the end-to-end content system: from the structured clinician intake schema to the dual-format drafting rules, automated character validation formulas, and final editorial QA checklists.
Epic EHR: max 1,750 characters. Google Business Profile: max 750 characters. Overages caused truncated text in search results and rejected uploads.
Physicians (MD/DO) are addressed as “Dr. [LastName]”; advanced practice providers (CNP, PA-C) are addressed by first name per clinical directory guidelines.
Clinical descriptions cannot promise outcomes, cures, or claim unverified rankings. Every statement must link to verified intake facts.
Profiles must appeal to anxious patients seeking compassionate care while simultaneously signaling exact subspecialty clinical criteria to referring physicians.
Writers were trying to write one generic bio and cram it into different platforms. The solution was to decouple the intake of truth from the format of distribution. By collecting structured facts once (specialty focus, philosophy of care, research, referral criteria), we could programmatically generate distinct, perfectly formatted outputs tailored to each platform’s technical and search requirements.
Clinicians complete a 7-minute form capturing exact subspecialties, patient care philosophy, referral relationships, and certifications. No creative writing required from the doctor.
Intake data passes through governed prompt templates containing explicit character boundary rules, naming conventions, and section schemas for both Epic EHR and Google Business Profile formats.
Every draft is validated by real-time character counters and preflight compliance formulas. If a bio exceeds limits or misses mandatory brand mentions, it flags for human review before staging.
Here is an example showing how one clinician intake produces two distinct, governed outputs:
Meet Peter Ferrante, CNP
Areas of Expertise: Peter is an otolaryngology (ear, nose and throat) provider who cares for patients with a broad range of ENT concerns. He has a special interest in otology (ear care) and rhinology (sinus care)...
Approach to Care: Patients can expect genuine, focused visits with close attention to detail. Peter takes the time needed so each patient’s concerns are addressed...
Referring Provider Note: Peter sees most ENT concerns, with a focus on ear, nose and sinus care. He often receives referrals from primary care providers.
Peter Ferrante, CNP, is an otolaryngology (ear, nose and throat) provider at UC Health who cares for patients with a broad range of ENT concerns. He has a special interest in ear, nose and sinus care, including hearing loss, tinnitus, sinus disease, allergies, and nosebleeds. Peter offers genuine, focused visits and takes the time needed to thoughtfully address each patient's concerns. He focuses on education and prevention and explains medical information in a relatable way.
This case study demonstrates workflow design, prompt architecture, and editorial governance specifications. It does not claim automated EHR database synchronization or API integration into Epic's core database. Staging and production upload remain subject to hospital IT credentialing approval and compliance review.
AI drafting fails when given unstructured inputs with no constraints. When you build strict intake boundaries, character formulas, and clear channel rules, automation becomes a reliable operational tool rather than a brand risk.
